How to Use ID Disk Creator: Simple Steps for Professional IDs
What you’ll need
- Hardware: Computer (Windows or macOS), ID card printer or compatible printer, blank ID cards, magnetic stripe or smart-card encoder if required.
- Software: ID Disk Creator installed and licensed.
- Assets: High-resolution logo files (PNG/SVG), staff photos (passport-style), employee data (name, title, ID number), and any barcode/magnetic data.
1. Install and set up
- Run the ID Disk Creator installer and follow on-screen prompts.
- Launch the program and enter your license key.
- Connect your ID printer and any encoders via USB or network; install printer drivers if prompted.
- Configure default card size and printer settings in Settings → Printer Setup.
2. Create a new ID template
- Select File → New Template.
- Choose a card orientation (landscape or portrait) and standard dimensions.
- Add layout elements:
- Logo: Import PNG/SVG and position at top-left or top-center.
- Photo placeholder: Add an image frame (usually 300 × 400 px) with a border.
- Text fields: Add fields for name, job title, department, and ID number. Use consistent fonts (sans-serif for legibility).
- Security elements: Add hologram overlay area, signature line, or microtext field if supported.
- Save the template with a descriptive name.
3. Import or enter data
- For single cards: Click Add Record and fill fields manually; import the staff photo into the photo field.
- For batches: Use File → Import → CSV. Ensure column headers match the software field names (e.g., FirstName, LastName, IDNumber, PhotoPath).
- Verify data mapping and preview a few records to check alignment and photo crops.
4. Design best practices
- Contrast & readability: Use high contrast between text and background; keep font sizes readable at typical viewing distance (minimum 8–10 pt for secondary text).
- Photo quality: Use neutral background, consistent lighting, and center the head with shoulders visible. Crop to the template’s aspect ratio.
- Brand consistency: Stick to brand colors and logo placement.
- Security: Include at least one security feature (barcode, QR code, magnetic stripe, watermark, or holographic laminate).
5. Add machine-readable elements
- Use the Barcode/QR tool to generate codes from an ID or URL field.
- Configure barcode symbology (Code 39, Code 128, or QR) depending on your access-control system.
- For magnetic stripe or smart card encoding, enable the encoder in Printer Settings and map the data track(s).
6. Preview and test print
- Use Preview to check layout, text truncation, and photo placement.
- Print a test card on a blank card or PVC test stock.
- Test machine-readable elements with scanners or access-control readers.
- Adjust colors using printer color profiles or manual calibration if colors look off.
7. Batch printing workflow
- Load cards and ribbons into the printer and ensure encoders are ready.
- Select the desired records or an imported CSV batch.
- Choose Print → Print Range and enable options such as “Encode” or “Laminate” if available.
- Monitor the first few cards to confirm alignment and encoding success.
8. Troubleshooting common issues
- Photos misaligned: Check image frame aspect ratio and enable “Fit to frame” or manually crop images.
- Colors incorrect: Calibrate printer profile or use “Adjust color” in print dialog.
- Encoding failures: Re-seat encoder hardware, confirm correct COM/IP settings, and verify data formatting.
- Missing fonts: Embed fonts or use system-safe fonts; reinstall font files on the machine.
